## How the Calculation Works

 * **Monthly model cost:** requests × ((input tokens × input rate + output tokens
   × output rate) ÷ 1,000,000).
 * **Monthly operating cost:** model cost + the other monthly costs you enter.
 * **First-year planning total:** (one-time delivery budget + 12 × monthly operating
   cost) × (1 + contingency ÷ 100).

The estimate assumes constant usage for 12 months. It excludes costs you do not 
enter and does not model cache discounts, batch discounts, volume tiers, separate
reasoning-token charges, repeated model calls, training, currency changes or annual
price changes. Adjust the inputs to reflect your chosen architecture.

## What Belongs in an Enterprise AI Budget?

**One-time delivery:** discovery, data cleanup, connectors, permission mapping, 
workflow integration, evaluation design, security testing, training and rollout.
A narrow internal assistant and a production agent that writes into an ERP have 
different scopes and approval requirements.

**Recurring operations:** embeddings and re-indexing, vector or hybrid search, hosting,
observability, evaluation runs, backups, support and maintenance. Include these 
in the other monthly costs field alongside model usage.

**Commercial review:** compare the annual estimate against a measured baseline such
as handling time, resolution rate or throughput. Define who owns quality failures
and ongoing improvements before assuming a return on investment.
